How Log Management Works
The Message for Salesforce Integration stores sync and change logs to help track communication between the two systems. Over time, these logs can accumulate and make the sync area difficult to manage. Clearing or setting a retention policy helps to maintain a clean and efficient integration without affecting current data or the sync process.
Step 1: Review Log Retention Policy
To prevent logs from growing indefinitely:
- Go to Settings > Log Retention Policy.
- Set the Retention Policy to 30 days (recommended).
Step 2: Clear Logs or Archive Data
To manually clear existing logs:
- Go to Settings > Account Setup > Advanced Tools.
- Choose the type of item you wish to clear. See below for an explanation of each option.
- Click on the Clear button.
Understanding Each Option
| Item | Description | Impact |
| Sync Logs | Reports information about active contact syncing activity, including what records were synced, whether the sync was successful and error messages. | Clearing these removes all historical records. This is safe to do, but you will lose past sync history. Set a retention policy if you would like to keep recent records. When a retention policy is active, older sync records are automatically purged. |
| Change Logs | Tacks which system updated data most recently when using bi-directional fields. | Clearing change logs removes the history of updates for bi-directional fields. New change logs will continue to be created for bi-directional fields that remain active. |
| Archived Messages | Stores local copies of messages as unique records in Salesforce to use for reporting and retention purposes. | Clearing archived messages deletes local message records, but users can still view and reply to conversations. Archived messages can be restored later, if needed, by Modern Campus Message Staff. |
| Tasks | Lists message related activities in the Salesforce Activity Feed for each contact. | Clearing this will remove Message for Salesforce tasks from the activity feed, but will not affect other tasks or Activity Feed entries. Tasks can be restored at any time, if needed. |
Additional Notes: Managing Logs and Archived Messages in Salesforce
If you need to clear logs or archived messages, here’s what to know before getting started:
- No negative impact: Clearing logs will not affect your system or current conversations. The only data that may be permanently removed are sync logs. All other logs can be restored if needed.
- Change logs may remain: Some change logs will continue to appear if they are connected to fields that sync in both directions (bi-directional fields).
- Clearing archived messages: If you choose to clear archived messages, they will be permanently removed from Salesforce. However, you’ll still be able to view ongoing conversations and respond to new incoming messages as usual.
- Clearing process details: When you select “Clear,” Salesforce processes the removal in batches of 2,000 records at a time. This is a Salesforce system limitation. Please keep the browser window open while the process runs, and clear only one type of item at a time.
