Sending a Bulk Message from the Message for Salesforce Inbox

Once field sharing has been configured, bulk messaging becomes available directly from your Message inbox inside Salesforce.

Sending a bulk message is simple (but we'll break it down below!):

  1. Choose the program sending the message

  2. Select your audience

  3. Compose your message

  4. Send immediately or schedule for later


Step 1: Start a New Message

In the top right corner of the inbox, click New Message

If you do not see this button, contact your administrator to confirm that:

  • Field sharing has been completed

  • Bulk messaging has been enabled

You will now see the bulk message composer.


Step 2: Select Your Program (Department)

First, choose the program the message will be sent from.
Use the dropdown to view available programs.

If the program you need is not listed, your administrator may need to adjust field sharing or permissions.


Step 3: Select Your Audience

Next, choose who will receive the message. You can combine multiple audience types.

Start typing in the audience field to search available options.

People

Select individual records. Available record types are configured by your administrator, but commonly include:

  • Contacts

  • Leads

  • Opportunities


Groups

Groups correspond to your Message groups or caseloads.
These will match the groups visible in your sidebar filters.


Reports

You can send to the results of a Salesforce report.

Important:

  • The report must already exist.

  • The Record ID must be the first column in the report.

This is the most common way to define an audience.


Campaigns

If using Salesforce Campaigns, you can send to members of any campaign.

Note: Message can target campaign members, but messages are not currently written back to the Campaign record for reporting.


Step 4: Compose Your Message

You guessed it, write your message in the composer!

You can:

  • Use up to 1600 characters (we recommend keeping it closer to 160 for readability)

  • Include emoji

  • Include links

  • Insert images

  • Use merge fields for personalization

Avoid shortened links. Many carriers block them these days.


Step 5: Choose Delivery Timing

You can:

  • Send Now

  • Schedule for Later

To schedule:

  1. Select the later option.

  2. Choose your preferred date and time.


Step 6: Review and Confirm

Click Next to view the confirmation screen.

Review:

  • Sending program

  • Audience

  • Message content

  • Scheduled time (if applicable)

And that's it! Once your message is confirmed it will be sent or scheduled and you can monitor your inbox for incoming replies!
